We have recently developed a bespoke AI-powered workflow for a local building company that is transforming the way it processes invoices, manages project costs and monitors changes in material prices.
Like many businesses in the construction sector the company receives a large volume of supplier invoices containing multiple products, materials and individual line items. Each invoice previously needed to be reviewed manually with the information entered into project worksheets and cost-tracking spreadsheets.
This was a time-consuming process that required significant administrative input each month. It also made it difficult to monitor price changes across hundreds of different products purchased from multiple suppliers.
Our goal was to create a workflow that would remove the repetitive data entry while giving the company much greater visibility and control over its project costs.
The new workflow allows invoices to be uploaded directly into the system. AI then reads each document including hand written invoices; and extracts the relevant information including individual line items, quantities, descriptions and costs.
Rather than simply recording the total invoice value the system breaks the document down line by line.
The information is then organised into a project-specific worksheet showing every product or material purchased and the associated cost. At the same time a separate summary spreadsheet is created to provide a clear overview of the total expenditure for that project.
This gives the company a detailed view of project costs without the need for staff to manually copy information from invoices into multiple spreadsheets.
The process is faster, more consistent and reduces the risk of errors caused by repetitive data entry.
While the invoice processing alone delivers a significant saving in time the most valuable part of the workflow is the way it monitors the cost of individual products.
Every line item extracted from an invoice is also added to a master spreadsheet. This creates an evolving database of materials, products and historical costs.
Whenever a new invoice is uploaded the workflow automatically compares each line item against previous entries in the master spreadsheet.
Where the system identifies an increase in price the company is alerted.
This means staff no longer need to manually review hundreds of previous invoices to determine whether the cost of a product has changed. The workflow identifies the increase as soon as the new invoice is processed.
For a building company purchasing large volumes of materials this provides a powerful level of cost control. Even relatively small price increases can have a major impact when products are purchased frequently or used across multiple projects.
The company can now identify rising costs earlier, challenge unexpected increases and make more informed purchasing decisions.
The completed workflow delivers benefits across both project administration and financial management.
Project worksheets are produced more quickly and contain consistent structured information. Summary spreadsheets provide an immediate view of total project expenditure while the master database creates a clear historical record of product prices.
Most importantly the workflow gives the company constant oversight of material costs without increasing the administrative workload.
What previously involved hours of manually reviewing invoices, entering data and comparing prices is now completed automatically as each new invoice is uploaded.
The result is a streamlined process that is expected to save hundreds of staff hours every month while also reducing the risk of the company unknowingly overpaying for products.
This project is a strong example of how AI can deliver practical improvements within an established business process.
Rather than introducing technology for the sake of it the workflow focuses on a genuine operational challenge. It removes repetitive work, improves the quality of business data and gives the company information it can act on immediately.
For businesses handling high volumes of invoices or regularly purchasing the same products this type of AI workflow can create substantial savings in both time and cost.
